Title:   Executive & Development Associate
Reports to:  Executive Director 

The Executive and Development Associate plays an integral role in the support of resource development and general administration, working closely with the Executive Director and as a member of the development team. As part of a demanding, fast-paced environment that values efficiency, professionalism, creativity, and collaboration, the Executive and Development Associate interfaces with the COO, operations and program staff, and board members on a day-to-day basis. Responsibilities include:

Executive Support

  1. Coordinate calendar management, travel arrangements, gathering and organization of information for meetings, correspondence, filing, and expense reporting for the Executive Director;
  2. Coordinate planning, execution, and documentation of logistics for all meetings of the Board of Directors, board committees, and special advisory committees;
  3. Take and prepare minutes for Executive Committee meetings, Board meetings and other meetings as needed;

General Administration

  1. Coordinate facility rental for 8th floor, including processing rental agreements and coordinating staffing;
  2. Coordinate general office logistics including ordering office supplies, checking general office voicemail, locking and unlocking elevators each day, and communicating with building facilities staff regarding maintenance needs;
  3. Assist with administrative staff searches as needed, including posting job descriptions, scheduling interviews, responding to applications, and maintaining applicant files;
  4. Serve as 504 accessibility coordinator/point person for NEFA, coordinating communications and knowledge sharing as needed;

Development

  1. Maintain and track grants reporting calendar;
  2. Utilize database to process incoming funding, maintain development data and generate reports;
  3. Maintain paper files for donor and grant proposals, awards, acknowledgements, and other correspondence;
  4. Provide support for gift acknowledgement and stewardship;
  5. Assist in the production of receptions and small scale special events;
  6. Assist with preparation and submission of funding proposals and reports;

Qualifications

  • Outstanding communication skills - verbal, written, and interpersonal;
  • Impeccable attention to detail;
  • Strong organizational skills with ability to anticipate, initiate, and advance multiple priorities and projects concurrently;
  • Enthusiasm for taking on tasks both large and small;
  • Strong interest in arts and culture.

Education/Technical Skills

  • Bachelor of Arts with 2-3 years of related work experience, development and/or executive assistance experience preferred;
  • Proficiency in Windows, Microsoft Office XP; experience with Access forms and queries strongly preferred;
  • Proficiency with Internet research.
     

Title:   Program Associate
Reports to:  Director of Programs

The Program Associate works closely with the Director of Programs and other program staff to support NEFA’s grantmaking programs. With an initial emphasis on the Native Arts and Public Art programs, the scope of this position includes the following:

Grants Administration

  1. Create and monitor online grant application forms;
  2. Process grant applications and evaluations and transfer grant application and evaluation data into grants database;
  3. Process grant notifications, award letters, contracts and payments;
  4. Maintain complete files (paper and electronic) for active and paid grants;
  5. Maintain constituent list in grants and contacts database, including updates and de-duping on an ongoing basis;
  6. Work with Data Task Force and other staff on the implementation of a new data management and online grant system;

Constituent Support

  1. Provide technical assistance, information, and other support to applicants, grant recipients, and other constituents;
  2. Work with grant recipients to support requirements for crediting, images, and other program material, evaluation, and payments;

Program Administration

  1. Provide administrative support to the Director of Programs including distribution of meeting notes for program planning and communications (both internal and external); and contacts management, including data entry for new contacts, updating current contacts, and assistance in scheduling meetings;
  2. Prepare and distribute support materials for panel meetings;
  3. Coordinate logistics for panel meetings and other events including locating/securing meeting locations; catering, tracking participant attendance, and technical needs;

Qualifications/Experience

  • Bachelor’s degree or equivalent relevant experience
  • 1-2 years professional experience
  • Excellent written and verbal communication skills
  • Strong attention to detail, ability to meet deadlines
  • Demonstrated interest in the arts
  • General knowledge of and interest in Public Art, Native American art forms, and/or creative economy landscape a plus

Technical Skills

  • Solid experience with data entry and tracking.
  • Proficiency in Windows, Microsoft Office Word (mail merge), Excel, Outlook (calendar management), and Access (forms and queries);
  • Proficiency with web applications and online research;
  • Prior experience with Salesforce or Foundation Connect a plus.
